The platform and your event organiser
Aventa hosts event listings and supplies entry, finance and communication tools. The organiser named on an event page provides the event. Hosting an event listing does not mean that the organiser is an Aventa customer or that Aventa delivers or endorses that event.
Aventa determines how account access, platform security, support and its own marketing operate. Organisers determine how participant information is used to deliver their events and communicate with entrants. Where Aventa processes participant records on an organiser’s instructions, that arrangement must be covered by the organiser’s data-processing agreement. The final allocation of responsibilities is being reviewed before external organiser onboarding.
Information collected and where it comes from
Account information includes email, authentication records and profile details you supply. Entries may include name, phone, address, date of birth, category, emergency contact, booking answers, extras and payment status. Medical or dietary answers can reveal sensitive information; provide these only where relevant to your event. Tell any emergency contact before supplying their details.
Organisers may import entry records. Listings may originate from public event websites, an organiser or an authorised catalogue import. Ask us for the source of a particular record. Reviews and testimonials contain the words and display identity you choose to submit, with publication subject to moderation.
Our infrastructure handles technical information such as IP addresses, request logs and authentication activity. Stripe handles checkout payment details; Aventa keeps transaction references, amounts, payment and refund status for entry administration. Support enquiries are delivered by email. Marketing records include your email, consent, selected interests and event subscriptions.
Purposes and lawful bases
Account services and requested entry administration use information needed to provide the service you request. Financial and tax records may be retained to meet legal obligations. Security, fraud prevention, support and dispute handling rely on legitimate interests in protecting the platform and resolving problems, subject to an assessment of your rights.
Optional promotional email and publication of submitted testimonials rely on the permission requested for those activities. You can withdraw that permission. Organisers must identify their own lawful basis for event processing. Health information also needs a valid special-category condition; a general booking agreement alone is not sufficient. The applicable condition and collection wording must be confirmed before collecting sensitive event answers.
Who receives information
The relevant organiser receives participant records needed for its event. Service providers include Supabase for accounts, database and file storage, Stripe for payments, Resend for email and the website’s hosting provider. Organisers can export records and may use their own verified email service. Their notice should explain further recipients such as event operations or medical teams.
Maps, remote images and embedded route or video services can receive your IP address and browser information when their content loads. See the cookie page. We do not provide a public directory of participant contact details. Disclosure may also be necessary for legal requests or the establishment or defence of claims.
Storage, international transfers and retention
Data may be processed in more than one country by service providers. The final hosting locations, subprocessors and applicable transfer safeguards must be confirmed for the deployed service; we do not claim that all information stays in the UK.
Retention depends on the record’s purpose, outstanding bookings, payment reconciliation, disputes and applicable obligations. The data-retention page distinguishes the implemented abandoned-checkout rule from records that need an agreed retention schedule. Closing an account or withdrawing marketing permission does not automatically erase financial records that still need to be held.
Aventa Entries newsletters
When newsletter signup is enabled, Aventa Operations holds your email address, selected sports and interests, the permission wording and its version, the source page, and the request and confirmation times. The signup asks separately for Entries event news and marketing, including sponsored features. We send a confirmation email before activating your choices. Resend handles confirmation email delivery, and Operations records delivery status and provider reference.
Entries and Advisory choices are kept separately. Confirming new Entries interests replaces your previous Entries interests only. Entries unsubscribe links stop Entries marketing; a shared suppression record can block marketing from both businesses. Organiser subscriptions remain separate. Newsletter delivery is being prepared, and historical unconfirmed signup records are not automatically added to a confirmed audience.
Your choices and rights
You can request access, correction, erasure, restriction or portability where applicable. You can object to processing based on legitimate interests. You have the right to object to direct marketing at any time; use Marketing preferences or contact us. Withdrawal of consent does not affect processing that was lawful before withdrawal.
Some information is required to create an account or complete an entry. If it is missing, the requested service may not be available; optional marketing and testimonial permission are separate. Event-specific requirements should be explained by the organiser.
We may need proportionate identity checks before releasing or changing records. Contact us first if you have a concern. You can also complain to the Information Commissioner’s Office at ico.org.uk/make-a-complaint, or your relevant supervisory authority.
Automated processing and updates
The platform applies booking eligibility, capacity and price rules and can select marketing audiences using recorded interests. No solely automated decision with legal or similarly significant effects is described by the current platform design. Contact us to query a booking decision.
We will update this notice when the service or its data practices change. Material changes should be brought to your attention before information is used for a new, incompatible purpose.
