1. Your event and your organisation

You must have authority to act for the organisation and to publish or claim its events. You provide the event and contract with its participants. You are responsible for accurate listing information, permits, insurance, staffing, safety, accessibility information, event delivery and participant-facing terms. Aventa supplies the hosting and management software.

2. Listings and package availability

The current commercial model provides one free self-created listing edition per organiser, with additional editions priced at £24.99 total unless the edition uses managed entries. Imported, unclaimed directory records do not use the free allowance. The order and activation process must confirm any charge before publication.

Promote is priced at £20 total for 30 days or £70 total for 12 months per event edition, subject to availability and agreed placement. Showcase inclusions and pricing are not final. No unconfirmed package or subscription fee is accepted by reading this draft.

3. Managed entries and fees

The working managed-entry fee is 3.5% total of the entry and paid extras after discounts, charged on successful paid entries. Aventa does not currently charge VAT; if that changes after registration, any VAT will be included within the advertised Aventa price rather than added to it. The default is organiser-paid; you may choose to add the Aventa fee to the participant total, which must be clearly disclosed before payment. Stripe processing is separate and remains the organiser’s cost.

Payments use Stripe Connect direct charges into your connected account. You must complete the required verification and maintain the ability to fund refunds, disputes and negative balances. Aventa does not hold your participant entry proceeds. Live activation depends on approved configuration and completion of payment testing.

4. Refunds and event cancellation

You decide and fund participant refunds under your event policy and applicable law. Notify participants promptly of cancellation or material changes. Aventa’s transaction fee is earned when payment succeeds and is not ordinarily returned on an organiser-initiated refund. This does not reduce a participant refund you have promised or are legally required to pay. Errors or duplicate charges attributable to Aventa must be corrected.

The proposed event-package refund rule allows a request within 14 calendar days of purchase if the attached event is cancelled and no paid entry has been processed. The earlier of the first paid entry or the end of that period makes the package fee earned. This commercial rule remains subject to final agreement and implementation before sale. Stripe processing and dispute fees may remain payable.

5. Participant information and communications

Use entry records only for lawful, explained purposes. Restrict access to people who need it, secure downloaded exports and keep them only as long as justified. You must provide an appropriate privacy notice, a lawful basis and any required special-category condition for health information.

Necessary event messages and optional marketing are separate. Do not treat entering an event as unrestricted marketing permission. Only send promotional messages to eligible recipients and honour objections and suppression records. Current campaign tools support preparation; delivery depends on a verified sender and an enabled delivery service.

A separate data-processing agreement must cover any processing Aventa performs on your instructions, including purpose, duration, data categories, confidentiality, security, subprocessors, rights requests, breach assistance, audits and return or deletion. This page is not a substitute for that agreement.

6. Content, reviews and media

Provide only text, photographs, logos, routes and other media you are authorised to use. Any permission given to Aventa is limited to operating and presenting the agreed service. Do not fabricate reviews or imply that imported reviews describe Aventa’s software. Promotional testimonials require the submitter’s publication permission and disclosure of relevant commercial relationships.

7. Service changes, suspension and ending use

Aventa may pause affected access or checkout to address fraud, security, unlawful content or unresolved payment risks. Any suspension should be proportionate to the issue and should consider participants’ need for event information. Export, account closure, deletion and any continuing retention requirements must be agreed before ending the service.

Final service commitments, liability provisions, governing law and dispute process require agreement with the identified operator. Nothing in this draft excludes liability that cannot lawfully be excluded. No event-package purchase, waiver or new contract is created by viewing it.
